Job description

An exciting opportunity at one of the most exciting event spaces in London. oldbillingsgate, a renowned, dry hire, events venue in London, is looking to recruit a new Senior Venue Operations Executive.

Duties include:

  • collating specific event documents (e.g. contracts, risk assessments, event floor plans, event schedules etc.) and general administration work for each event
  • creation of contracts and invoices
  • to be the responsible client contact during hire periods and tend to any queries or emergencies which might arise in the venue
  • to work closely with the Operations Manager implementing and maintaining the smooth running of the venue operations
  • to assist in training new members of staff
  • to be responsible for delegating the staff overtime rota
  • client account management to develop strong working relationships with clients through great service and follow-up
  • frequent communication with suppliers to arrange and book staffing
  • use of accounts software to process invoices and payments (previous experience preferable but not required)
  • willing to be flexible and assist as necessary in all aspects of the day to day running of the office and our events. To include early get-ins (damage checks) for events and acting as onsite duty venue representative during out of office hours events.
  • develop a good knowledge of the venue and the type of events held here
  • dealing with incoming enquiries - selling to customers who are already interested in the venue
  • conducting both sales meetings and event production meetings
  • integrating with the whole team to ensure a smooth transition from sale to post event
  • maintain, update and expand the database
  • a degree of pro-active sales to generate new sales and new business opportunities

 

Applicant is required to have:

  • previous experience in the events industry
  • excellent organisational skills
  • understanding of invoicing procedures
  • proficient computer skills including knowledge of Excel, Power Point and Word
  • excellent interpersonal and communication skills and the confidence to liaise with clients and suppliers
  • hardworking, focused and determined in your approach to work
  • a bright, friendly and personable character is vital to the role
  • excellent telephone manner
  • numerical competence and attention to detail
  • ability to use initiative and think on feet and adhere to venue procedures and policies

 

Please note this is not an event coordinating role, as Old Billingsgate is a dry hire venue
