To develop and grow A&K Europe’s MICE business.  Developing existing and new relationships to encourage clients to send us RFP’s.  To accurately manage the RFP Process in-line with the client brief through to the point of sale.  To oversee and partake in the operation of client inspections and actual events to the highest quality standards.  To directly line manage and develop a small team of staff (currently one person)

DESCRIPTION OF DUTIES

Business Development:
To work in conjunction all A&K Sales & Marketing resources to develop client awareness of A&K Europe MICE with the aim of securing RFP’s.  This could include international sales calls, trade shows, creating collateral, webinars etc

  • To create attractive and effective marketing materials which can be used as a sales tool
  • To work through personal contacts to secure RFP’s
  • To create a repeat book of business
  • To keep track of industry trends, products and technology tools

RFP Process

  • To provide a same-day response to new enquiries, with an outline proposal within one business day
  • To provide comprehensive proposals within the clients brief and timeline, always striving to over-deliver on the client’s expectations
  • To develop new product as required
  • To provide competitively/accurately priced proposals whilst maintaining the highest possible margin
  • To proactively follow up with clients once proposals have been sent until the RFP converts into a confirmed reservation
  • To negotiate the best possible terms with suppliers
  • To set-up and accompany client site-inspections as required.  This will require international travel
  • To issue competitive terms & conditions which protect the company against any future damage
  • To secure signed contracts with appropriate payments made within the correct date

Operational Process

  • To set up and/or oversee the set-up of arrangements as per contract, exceeding client expectations wherever possible
  • To facilitate changes and requests made by the client
  • To renegotiate supplier contracts before signature for a superior agreement
  • To maintain accurate financial records on A&K’s reservation system, Travel Studio
  • To make necessary supplier payments
  • To maximise margins wherever possible without detriment to client arrangements
  • To ensure client arrangements are delivered on the ground to meet or exceed client expectations.  This will involve international travel.
  • To resolve any Quality and Service matters to ensure the client is satisfied

General

  • To lead ad-hoc projects as requested by Management
  • Provide guidance and assistance to other members of staff
  • Occasional familiarisation or business trips with follow up reports and presentation as required
  • To ensure the Operations Emergency ‘Bible’ contains all necessary information for the provision of an emergency service when on emergency duty.
  • To be flexible on working hours to accommodate our clients and workloads as required
  • General office duties such as answering telephone etc.
